
Air cargo tracking delays usually show up at the worst moment: the shipment has already moved, the customer is asking for an update, and the system still says “received” or “no status available.” For operators, that gap creates avoidable noise. You waste time chasing airlines, forwarders, handlers, and warehouse teams just to confirm what probably already happened.
In most cases, the cargo is not actually lost. The problem is that physical movement and digital movement do not happen at the same speed. If you work with air freight regularly, it helps to treat tracking as an operational process with failure points, not as a perfect real-time feed. Before escalating, separate the two. Many teams jump straight into “where is the freight?” when the real problem is “why has the scan not posted?”

1. The AWB details were entered late or incorrectly.

What to do: verify the exact AWB format, confirm whether you should be tracking against the airline master number or a forwarder reference, and check whether the booking was converted into an issued AWB yet. 2. Cargo acceptance happened physically, but the acceptance event was not posted yet.
At some stations, cargo is received at the terminal, staged, screened, or weighed before the acceptance milestone appears in the visible tracking feed. During peak periods, scans may be batched rather than posted instantly. This is especially noticeable at busy export hubs, during holiday surges, and after flight schedule disruptions.
A useful operator check is elapsed time. If cargo was handed over recently and the terminal is congested, a short delay in tracking does not automatically signal a service failure. If the silence extends well beyond the local handling rhythm, then you escalate.

One system may mark cargo as “departed” when the flight closes. Another may only update after confirmed airborne messaging. The fix is not technical first. It is procedural. Make sure your team knows what each status actually means in the systems you use. “Ready for carriage,” “received from shipper,” “manifested,” “loaded,” and “departed” are not interchangeable.
4. The shipment moved under irregular operations.
Rebookings, offloads, transfers, part-shipments, and route changes often create messy tracking histories. The cargo may move, but the event chain becomes incomplete or delayed because the original plan was broken. If a shipment misses a connection or is split across flights, customer-facing tracking can look frozen even when operations teams are actively recovering it.
This is where a simple “please update tracking” request usually gets nowhere. Ask a more useful question: was the freight offloaded, rebooked, or split? Once you know which exception happened, the next check becomes clearer.

The exact timing depends on the carrier, station, and service level, so it should be set from your own operating history rather than invented assumptions.
Keep one version of customer communication. A common mistake is letting sales, customer service, and operations share different interpretations of the same shipment. If the tracking status is delayed, say that clearly and separately from the cargo movement status. Customers handle uncertainty better when the message is precise.
Review recurring problem stations and partners. If specific airlines, terminals, or handling points repeatedly cause visibility gaps, document it. Over time this helps with routing decisions, partner reviews, and service promises.
